2025 MIDWEST BIRD SHOWS “VENDOR POLICIES”

Participation in Midwest Bird Shows requires a signed vendor agreement each year. No vendor will be permitted to participate without submitting the form at the end. This agreement applies to all events that Midwest Bird Shows operates.

QUALITY ASSURANCE

Midwest Bird Shows is dedicated to maintaining high standards of quality for both products and services. As our vendors play a key role in delivering this quality, we expect vendors to consistently assess and maintain the quality of their products. Vendors should use quality materials and regularly inspect products to ensure customer satisfaction.

TABLES

Tables are 6ft long and provided by Midwest Bird Shows. Vendors are not permitted to bring their own tables. If you would like to rent a space without a table, you must contact Shayne (owner) directly at 614-916-6930

PRICING for Rolling Meadows Bird Show

  • 1 table = $40.00

  • 2 tables = $35.00 each

  • 3 tables = $30.00 each

  • 4+ tables = $25.00 each

PRICING for Joliet Bird Show

  • 1 table = $35.00

  • 2 tables = $30.00 each

  • 3 tables = $25.00 each

  • 4+ tables = $20.00 each

SETUP AND TAKEDOWN

  • Setup is allowed between 8:00 AM and 9:45 AM. Vendors must be fully set up by 9:45 AM.

  • Late arrival (after 10:15 AM) will result in a $25 late fee.

  • Early takedown is not permitted unless sold out or prior approval is given. Repeated early takedown will incur a $25 fee.

  • Vendors are responsible for keeping their areas clean. Failure to do so will result in a $25 cleanup fee.

  • Vendors must provide their own tablecloths, especially when displaying live birds.

  • Midwest Bird Shows is not responsible for providing chairs at events. There are chairs at the venues that are first-come-first-served.


PREPAYMENT

No space will be reserved without prepayment. Tables are reserved only when payment is received. Exceptions may be made if we contact you to fill last-minute openings. Payment can be made through:

  • Cash (in person)

  • Credit/Debit Card (with a 7.25% tax rate)

  • PayPal (hello@midwestbirdshows.com with at 7.25% tax rate)

  • Phone payment (614-916-6930, with a 7.25% tax rate)

  • Bartering (in person) Midwest Bird Shows supports the bartering method. If you would like to barter to cover part of your table payments, you must reach out to Shayne (owner) directly and a bartering agreement must be signed.

We do not accept personal checks. Mailed payments must arrive within 5 business days of your reservation at:

CANCELLATIONS & REMOVAL FROM SHOWS

  • Cancellations made 5 business days prior to the show will receive a refund or credit for future events. Cancellations after this period will result in forfeiture of your deposit.

  • If removed from an event, your deposit will be forfeited at the discretion of Midwest Bird Shows.

  • Cancellations must be communicated via call or text to Midwest Bird Shows at 614-916-6930, or by email to hello@midwestbirdshows.com

VENDORS SELLING LIVE BIRDS

BIRD HEALTH, SAFETY AND DISEASE PREVENTION

At Midwest Bird Shows, the health and well-being of all birds are paramount. Vendors selling live birds must adhere to the following guidelines to maintain the highest standards of care, minimize disease transmission, and ensure fair competition:

  1. Cage Size and Cleanliness: All birds must be housed in appropriately sized, well-maintained cages. Cages must be clean, free of feces, and rust-free, with fresh food and water available at all times. Vendors are responsible for ensuring sanitary conditions throughout the show.

  2. Health and Well-being: Birds must be healthy, clean, and properly cared for. Any bird showing signs of illness, injury, stress, or improper housing will be removed from the show. Vendors whose birds are removed must have them examined by an avian veterinarian and receive clearance before returning to future events.  It is highly recommended that vendors have their birds screened by an avian veterinarian regularly to ensure they are disease-free before bringing them to the show.

  3. Disease Prevention: To limit the spread of disease, vendors must take proactive steps, including:

    • Quarantining newly acquired birds before introducing them to inventory.

    • Regular health screenings by an avian veterinarian to ensure birds are disease-free.

    • Disinfecting cages and carriers before and after each show.

    • Preventing overcrowding of birds and avoiding placing birds from different sources in the same cage.

    • Utilizing hand sanitizers and other hygiene practices to minimize cross-contamination during customer interactions. IF YOU LET PEOPLE HANDLE YOUR BIRDS, YOU MUST HAVE HAND SANITIZER AT YOUR TABLE(S).

  4. Handling Sick Birds: Birds exhibiting signs of illness (e.g., lethargy, abnormal behavior, respiratory issues, unusual discharge) will be removed from the show immediately. These birds must be cleared by an avian veterinarian before being allowed back at future events.

  5. Return Policy: Vendors are required to offer a fair return policy if a customer discovers their purchased bird is ill after the sale. This ensures responsible practices and fosters trust with customers. Or if you opt out of offering a return policy, then this needs to be known by the customer. Midwest Bird Shows requires each vendor to notify us of what the vendor's return policy is.

  6. Unweaned Baby Birds: The sale of unweaned baby birds is strictly prohibited at Midwest Bird Shows.

  7. Inspection: Midwest Bird Shows reserves the right to inspect cages and carriers at any time. Birds found in unsatisfactory conditions will result in one warning and then vendor's removal from the event, with forfeiture of any deposits.

FAIR PRICING AND COMPETITIVE ENVIRONMENT

Midwest Bird Shows values a fair and respectful competitive environment for all vendors. To ensure that every vendor has an opportunity to succeed, we ask that vendors adhere to the following pricing guidelines:

  1. Competitive, Not Undercutting: Vendors are encouraged to price birds and other products at a fair market value. Underpricing birds in an effort to capture all customers undermines the community of vendors and the overall value of the show. Please be considerate when setting your prices to ensure a healthy marketplace for everyone.

  2. Price Transparency: Clearly mark the prices of all birds and products. This transparency fosters trust with customers and helps create a professional atmosphere at the show.

  3. Bird Quality and Pricing: Pricing should reflect the quality of the birds being sold, including their breed, health, and any special care provided. Undercutting prices with lower-quality birds can damage vendor reputations and customer trust.

  4. Consultation and Advice: Vendors who may be unsure about competitive pricing or setting appropriate price points for specific bird breeds are encouraged to reach out to Midwest Bird Shows management for guidance. We want every vendor to succeed and are here to support fair business practices.

SALES TAX

Vendors are responsible for collecting, reporting, and submitting sales tax according to the state of Illinois' regulations.

OTHER POLICIES

  • Heating Devices: No water heating devices are allowed at vendor tables. Formula should be prepared in the designated bathroom area.

  • Business Insurance: Vendors are encouraged to carry business liability insurance.

  • Other Animals: No animals other than birds are permitted at the shows.

  • Smoking: If smoking near entry doors, please ensure the doors remain closed and be courteous to others.

  • Video & Photography: Video or photo shoots during the event are generally prohibited except for personal promotion. Vendors are prohibited from recording other vendors or customers without prior consent. Midwest Bird Shows will take photos/videos during our events to promote our events and you as vendors. We will always notify you ahead of time.

  • Complaints: Midwest Shows personnel will address complaints or suspicious activity and may ask individuals to leave the event if warranted.

Vendors are welcome to advertise Midwest Bird Shows on other websites, provided accurate information is used.
